5 FAQ's about Audio

A2i now offer a wide range of audio formats: from the traditional Cassette tape to newer formats such as podcasts and DAISY. The range of products and the variety of documents we transcribe often leads to questions from our customers. Here are some of the most common:

1) What audio format do I need?

The format you choose will depend on your target audience. For example, CD’s are the most widely-accessible type of audio, tapes are often preferred by people who have used them for a number of years, and podcasts are popular with a younger audience.

The best solution would be to ask your customers which format they would prefer, keep a record of their preferences, and send A2i the list of addresses and formats for dispatch of your documents directly to them. Don’t forget to keep your records up to date, and ask all new contacts their preferred format.

If you do not know this information about your listeners if may be best to order standard CD’s, as these can be played on all types of devices including CD players, car stereos and computers.

2) Can I order more than one audio format?

Yes. And if more than one audio format is ordered at the same time, the cost of the master for the second format is reduced (and the master for the third and fourth formats if required). For example, you may want to order some CD’s and some tapes, or a podcast as well as some standard CD’s.

3) What happens about the page numbers and page references in my document?

You don’t need to worry about anything like this – A2i will write your audio script. Just send us your standard print document, and we will make all adjustments needed to make it appropriate for audio.

Page numbers and references will be replaced as appropriate; contents and index listings will be adapted; a navigation structure will be used, and explained to the listener; tables and graphs will be re-formatted; diagrams will be described when required and forms will be outlined, and guidance given for completion.

4) My customer must receive lots of audio tapes/CD’s – how will they know which one is mine?

Customers who request an audio version of your information, will usually also receive audio documents from a large number of other organisations, such as banks, councils, the government, universities/colleges and unions.

We will record your document and organisation names within the first 60 seconds of an audio recording. However, to make your recordings more user-friendly A2i can put Braille labels on the tape or on the CD case. Labels containing both print and Braille (combo labels) enable blind, partially sighted and fully sighted people to identify your document within seconds.

5) How long will it be before I receive my completed audio transcription?

Our usual turnaround time is three working days to dispatch. This may increase slightly if your document is long, or you require a large number of copies. However, if you have a specific deadline, please always let us know and we will try to meet it.

Accessible prospectuses and podcasts.

Be proactive - don't wait for a request for your prospectus in an alternative format, get it transcribed as a podcast, and broadcast your university/college information now! There are so many advantages:

  • Potential students can access you prospectus more quickly – they don’t have to wait for it to arrive in the post. A podcast can be played by your customers directly from your website, or easily downloaded to a computer or to a personal audio player such as an ipod or mp3 player.
  • Podcasts are a popular option if your document needs to be widely available publicly, but you do not have a specific contact list to send it to. They appeal to a younger audience in particular.
  • Visually impaired learners do not have to contact you specially to ask for your prospectus in audio – they will have the same access to this information as their sighted peers.
  • Making your information available as a podcast would be good for your organisations reputation - it will show you are proactive, and that you have a positive approach towards treating all students in the same way. It will also help you meet your legal obligations under the Disability Discrimination Act.
